DATA PROTECTION AND PRIVACY NOTICE FOR WEBSITE AND PHYSICAL VISITORS

1. PURPOSE

The purpose of this Privacy Notice is to explain our commitment as 4A Elektrik Elektronik Teknoloji A.Ş. (“the Company”) to protecting your personal data and information security, ensuring their secure processing, and acting in accordance with ethical principles.

As the data controller, our Company may record, store, classify, update, and, where permitted by legislation, process and transfer the personal data of visitors in accordance with the purposes set forth below and in compliance with the principles of lawfulness and good faith.

Within this scope, we provide the following information under our obligation to inform pursuant to Article 10 of the Law on the Protection of Personal Data No. 6698 (KVKK).

2. DATA CONTROLLER

Pursuant to the Law No. 6698 on the Protection of Personal Data (“KVKK”), 4A Elektrik Elektronik Teknoloji A.Ş. acts as the “data controller” and processes your personal data for the purposes and within the legal frameworks described below.

3. SCOPE

This Notice covers:

  • Physical visitors entering our Company’s premises, and
  • Internet users and potential customers visit our website.

Personal data are processed by our Company for the following purposes:

  • Monitoring visitor entries and exits and ensuring physical security,
  • Recording access and security information of people requesting services through our website and internet network,
  • Protecting the safety of the Company, its employees, customers, and visitors,
  • Ensuring the traceability and security of the services provided.

Data are collected and processed electronically, digitally, or physically, through automated or non-automated methods, in compliance with Article 5 of the KVKK.

4. PERSONAL DATA COLLECTED

4.1. Website Visitors and Potential Customers

  • Identity: Name, Surname
  • Transaction Security Data: Internet usage logs, IP address, access times, cookie records (retained in accordance with Cookie Policy No. ÇRZP-01).

4.2. Physical Visitors

Our Company has discontinued the fingerprint system and uses a card/password-based access system. No biometric data are processed.

Collected categories of data include:

  • Identity: Name, Surname (recorded in visitor logbook),
  • Contact: E-mail address, mobile phone (may appear in visitor logbook),
  • Physical Space Security: Security camera footage without sound recording,
  • Visual and Audio Data: Information obtained during teleconferences, video, or phone calls.

Our Company does not request special categories of personal data such as religion, belief, attire, political opinion, or association membership. Even if such information appears in documents provided by you, it is not processed.

5. PURPOSES OF PROCESSING PERSONAL DATA

Your personal data are processed for the following purposes and legal reasons:

  • Managing customer relations and satisfaction processes,
  • Creating and monitoring visitor records,
  • Ensuring compliance with activities with legislation,
  • Maintaining workplace security and emergency management,
  • Conducting Occupational Health and Safety (OHS) activities,
  • Providing information to authorized people, institutions, and organizations,
  • Ensuring information security,
  • Submitting camera records to law enforcement authorities when legally required,
  • Fulfilling obligations arising from tax, labor, and social security laws.

Data are processed in accordance with Articles 5 and 6 of the KVKK on the basis of:

  • Compliance with the legal obligations of the data controller,
  • Legitimate interest,
  • Explicit stipulation by law.

6. TRANSFER OF PERSONAL DATA

6.1. Domestic Transfer

Your personal data may be shared with the following institutions and organizations for the purpose of fulfilling legal obligations:

  • Personal Data Protection Authority, Ministry of Finance, Social Security Institution, Turkish Employment Agency (İŞKUR), Information and Communication Technologies Authority,
  • Law enforcement agencies and courts,
  • Company lawyers and consultants,
  • Business partners, group companies, and service providers.

6.2. International Transfer

Data of physical visitors are not transferred abroad.
However, IP addresses and session data collected automatically during website visits may, when technically necessary, be processed on foreign servers (e.g., hosting providers) under legitimate interest.

7. METHODS OF COLLECTING PERSONAL DATA

Personal data are collected by our Company through:

  • Written, verbal, or electronic means,
  • Visitor logbooks, camera systems, website forms, and cookies.

All collected data are recorded, stored, and processed in accordance with the KVKK.

8. RETENTION, DELETION, AND DESTRUCTION

Personal data are retained for the duration stipulated by relevant laws or as long as necessary for the purpose of processing.
Once the retention period expires, the data are deleted, destroyed, or anonymized.

Our Company may also retain data for the statute of limitations period in the event of legal disputes or potential claims, to serve as evidence.

9. SECURITY OF PERSONAL DATA

To prevent loss, unauthorized access, or damage to your personal data, both technical and administrative measures prescribed by the Personal Data Protection Authority are implemented.
These measures are regularly reviewed and updated.

10. RIGHTS OF DATA SUBJECTS (ARTICLE 11 OF KVKK)

As data subjects, you have the following rights by applying to our Company:
a) To learn whether your personal data are processed,
b) To request information if your data have been processed,
c) To learn the purpose of processing and whether they are used in accordance with their purpose,
ç) To know the third parties to whom data are transferred,
d) To request correction of incomplete or inaccurate data,
e) To request deletion or destruction of data under Article 7 of the KVKK,
f) To request notification of such actions to third parties to whom data have been transferred,
g) To object to any result arising against you through automated data analysis,
ğ) To demand compensation if you suffer damage due to unlawful data processing.
